These terms apply to all exhibitors participating in IGNITE! on 22nd January 2026 at The Renaissance at Kelham Hall.

By booking a stand, you agree to the following terms:

Organisers
The event is organised by Tom Stansfield (Lincolnshire Marketing) and Paul Green (Business Unfinished), referred to as “the Organisers” throughout this document.

Booking and Payment
Stands are allocated on a first-come, first-served basis.
Payment is due in full at the point of booking. Your booking will not be confirmed until payment is received.
Failure to pay may result in cancellation of your booking.

What’s Included
Each exhibitor package includes:

One 6ft trestle table

One delegate ticket, granting full access to the event

One meal voucher

Your business listed on the event website (logo, name, and link)

Additional delegate tickets must be purchased in advance.
Power is not included and cannot be guaranteed unless pre-arranged separately.

Set Up and Breakdown
Exhibitors may access the venue for set up from 08:00 until 08:45 on 22nd January 2026.
All stands must be fully set up by 08:45. Late access may be refused.
Breakdown is not permitted before 16:00 unless agreed in advance with the Organisers.

Cancellations
Cancellations are permitted up to 30 days prior to the event, subject to a £25 admin fee.
No refunds will be issued for cancellations within 30 days of the event.
All cancellations must be made in writing.

Event Cancellation (Force Majeure)
If the event is cancelled due to circumstances beyond the Organisers’ control (e.g. venue issues, extreme weather), a full refund will be issued minus a £25 admin fee.
The Organisers accept no responsibility for additional costs incurred, such as accommodation or travel.

Conduct and Behaviour
Exhibitors are expected to conduct themselves professionally and respectfully at all times.
The Organisers reserve the right to remove any exhibitor for inappropriate behaviour, disruption, or breach of these terms, with no refund given.

Marketing and Branding
The Organisers may use your logo, company name, and description in marketing and promotional materials.
You are welcome to promote your involvement with IGNITE!, but you must not imply official endorsement unless previously agreed.

Insurance and Liability
Exhibitors take part at their own risk.
The Organisers accept no liability for loss, theft, damage, or injury.
Exhibitors are responsible for their own public liability insurance.
Any electrical equipment used must meet UK safety standards.

Photography and Filming
IGNITE! will be professionally photographed and filmed. By exhibiting, you consent to your stand and team being included in promotional material.
If you do not wish to be photographed, please inform the Organisers on arrival.

Use of Space and Giveaways
Stands are for the named business only. Sharing, sub-letting, or transferring your space is not allowed without prior agreement.
You may offer giveaways at your stand without prior approval.
Stand layouts must not obstruct walkways or other exhibitors.

Catering and Additional Tickets
Each exhibitor receives one meal voucher and one delegate ticket.
Additional meal vouchers and delegate tickets must be purchased in advance. On-the-day purchases are not available.
Dietary requirements must be communicated in advance.

Venue Rules
Exhibitors must comply with all venue rules set by The Renaissance at Kelham Hall.
Smoking and naked flames are strictly prohibited within the venue.

Amendments
These terms may be updated at any time. Any significant changes will be communicated to all confirmed exhibitors in writing.
